Our job is to manage properties, but our business is people - the right people; to work with and to work with you.  At Syndicate Partners, our management team believes that oversight of individual and investor projects is a critical performance factor. They display an in-depth understanding of how to address vacancy, tenant screening, inspection and repair related tasks, bookkeeping, and repair in maintenance. Also familiarity of rental laws and court processes enhances the value of each of our management agents.  Every one of our managing agents are specifically educated in individual unit management.

Communication

Each property manager is accessible throughout the day via cell phone. All owners and residents will have the luxury of dealing directly with the manager assigned to their specific property. Unlike many companies, Syndicate does not rely on the services of a receptionist and/or administrative assistant. Calls not answered directly by the unit’s agent are forwarded to the company’s general mailbox. When on the rare occasion your managing agent cannot immediately respond, our team of professional property managers will be available to address any questions or concerns that anyone may have. In addition, each property manager carries a cell phone 24 hours a day, seven days a week so that they may be contacted when a situation requires their immediate attention.

For non-emergency, after-hours situations, Syndicate Partners employs a 24 hour, seven day a week answering service for the purpose of accepting, processing and communicating general and emergency calls. For the convenience of the homeowner and the owner, this service is provided through an 800 number specific to that unit. Syndicate focus on providing the personal touch to you the client is the reason why it is encouraged that all contacts be directly with the property manager via voice mail, cell phone, or office number in order to report pertinent issues and any items that may require immediate attention. Syndicate Partners Management has found that the cultivation of the relationship between the property and their individual managing agent has provided for expeditious and excellent service. All managers are committed to continually exhibiting the highest level of professionalism while being proactive, responsive and customer service oriented.

Unparalleled Year Round Service

Syndicate Partners Management provides a 24 hour emergency maintenance service for maintenance repairs by way of our Syndicate Partners Construction & Consulting Company. Based on the property’s specific needs and budgets we arrange for suitably qualified professionals to tend to any repairs to the development such as electrical, plumbing or any other property or building related repairs deemed necessary to maintain your home to its very highest standard. Syndicate promotes the continued growth and relationship between the owner and the assigned managing agent. This allows someone who is familiar with your property 24 hours a day, seven days a week to immediately dispatch the necessary resources or personnel to address and stabilize virtually any situation, any time day or night. In cases where the assigned manager will not be available, a staff member, another property manager or a company executive will be available to answer and respond to any calls.

As well, your managing agent is tasked and responsible for the distribution of all relevant correspondence, written or otherwise, to contractors, state and local officials, occupants, legal representation and any other relevant parties. All correspondence created by your managing agent is checked for accuracy of content and grammatical errors. This is done to avoid embarrassing and costly errors on behalf of the owner part. Every piece of correspondence distributed by Syndicate Partners Management on behalf of your property is personally read and proofed by multiple individuals before being distributed. At any time, the owner, pursuant to their request, can review any draft correspondence to provide suggestions as and to the content thereof.

Syndicate Partners Management encourages this practice and in turn encourages the partnership between the owner, the agent and the company, ensuring that all documents are sent out in the manner in which is satisfactory to all parties.

Reporting Options

Syndicate Partners stays one step ahead of other industry members by using the Buildium computerized integrated property management and accounting system for the keeping of all financial records, maintaining all maintenance records, keeping owner and tenant records, producing mailing labels and generating delinquency notices. All members of Syndicate Partners Management are competent in the use of Word, Outlook and Excel. Syndicate, in turn, can offer an array of impressive features that make the day to day operations of your homeownership easier.

Contractual Convenience

On your behalf, your agent will be tasked with the responsibility of soliciting bids for contractual services at your request. Contracts will not be awarded until you, the owner, is provided with at least three bids for review. Your agent will negotiate the contracts on your behalf and with the use of the Syndicate Partners Management approved vendor listing will provide said services to the owner at below market pricing. Syndicate Partners Management is able to offer this service to homeowners because of their long standing industry relationships and volume workloads, in turn passing on the savings to the clients which we manage. As part of any executed contract, the managing agent will conduct follow up inspections of any and all projects to ensure complete compliance with the executed contract. Payments will not be rendered for any services until the homeowner is fully satisfied with the results.

An even easier option is your ability to work exclusively with Syndicate Partners Management by working directly with our in-house Syndicate Partners Construction & Consulting company.

Data and Recordation

Individual homeowner records are maintained by Syndicate Partners Management. This includes all correspondence and inspection related documentation. The proper maintenance of said files enables the management company and you to access information regarding a particular property quickly, easily and accurately. Documents are filed using a systematic filing system which allows any employee of the company to retrieve information no matter the topic with little effort.

Pursuant to the management contract, all files for the property are available for inspection with 72 hours-notice provided the inspection is done during normal business hours.  At the start of the management contract, Syndicate Partners Management will perform weekly inspections on

the property and, through the use of the Buildium software, will record the results of the inspection including any violations and correspondence relating to said violations sent to the occupants. All of these items will be used in the annual inspection performed on each property, checking for adherence to requests as a tool to notify you on the status of maintenance violations cited through said walk-through.

WHAT WE DO

Initial Property Evaluation

At our first meeting, we will:

  • Evaluate your property with you
  • Make recommendations to prepare your property to obtain the optimal monthly rent
  • Provide information of comparable rental rates in the area to Market Your Property

To effectively market your property, we:

  • Gather necessary information and take digital photographs
  • Advertise locally and on the Internet
  • Show your rental property to prospective tenants

Tenant Selection

In order to find a reliable tenant, we will:

  •  Personally interview all serious applicants
  •  Review rental history and credit report
  •  Verify current employment and stated income
  •  Contact previous landlord to confirm payment history and care of property

Coordinate Tenant Move-In

Prior to tenant moving in, we will:

  • Complete lease documentation
  • Perform detailed property inspection with tenant
  • Deliver your specific property maintenance instructions to tenant

Rental Collection and Disbursement

On a monthly basis, we will:

  • Collect monthly rent from tenant
  • Promptly disburse funds per your instructions
  • This could include mortgage payments, Condo or HOA fees, etc.
  • Forward the balance to you without delay

Maintenance and Inspections

To ensure your property is being well cared for, we:

  • Conduct property inspections every 120 days, both inside and outside
  • Handle all complaints as they arise
  • Arrange for maintenance or repairs as needed
  • Maintain your swimming pool if requested.

Accounting

For your records, we provide:

  • Itemized monthly statements
  • Year-end accounting summary and forms for tax purposes
